Terms

Terms of service

The service boundaries, commercial offer and owner responsibilities that apply to Quotenivo.

Effective 29 September 2026 · Version 2026-09-29These terms apply to business customers, including sole traders. They are read with the Privacy Notice and, where applicable, the separate Data Processing Agreement. Features described as conditional are not active until separately enabled and validated.

About these terms

These terms apply when you create or use a Quotenivo workspace, use the service during a trial or start a paid Pilot subscription. Please read them alongside the public privacy notice before using the service.

Peter French operates Quotenivo as an individual, not through a registered company, and is not registered for UK VAT. Peter French is the individual contracting party described by these terms. The service is offered for business use, including sole traders, and is not intended for personal or consumer use. The service address is included below.

What Quotenivo provides

Quotenivo provides a hosted workspace for receiving bounded enquiry information, reviewing confirmed facts, recording an external quote reference and keeping one owner next action visible. The external quote document, invoice and payment system remain outside Quotenivo unless a separately documented feature says otherwise.

The service may be unavailable, changed, paused or unable to complete an action. A queued, submitted, delivered, failed or unknown state is shown as evidence permits; Quotenivo does not promise that a customer has read or acted on a message.

Account and workspace responsibility

  • Use an account and workspace you are authorised to operate, and keep sign-in access secure.
  • Enter information you are permitted to use and check the recipient, context and content before approving a customer-facing follow-up.
  • Do not use the service for unsolicited bulk messaging, unlawful content, credential abuse, impersonation or attempts to access another workspace.
  • Tell the service owner promptly if access, recipient information or a connected mailbox is no longer authorised.

Access may be suspended or stopped when the service boundary, account authority or safety evidence cannot be established. We will use the contact details below for support and notices where appropriate.

Mailbox connections

The launch pilot is designed for one authorised Microsoft email mailbox per workspace, including Outlook.com, Hotmail, MSN and Microsoft 365 accounts. Google Workspace is coming later and cannot be connected in the current release. The provider’s authorisation screen controls the scopes granted, and the provider remains authoritative for mailbox message state. Quotenivo is designed to use the minimum conversation metadata needed for the configured workflow rather than mirror a full inbox.

Disconnecting a mailbox is intended to stop provider-backed sending and require fresh authorisation before reconnecting. A provider outage, expired credential, ambiguous result or detected reply can stop or pause work; manual owner action may still be needed.

Review and follow-up safety

Human approval is the default. Approval is tied to the workspace, recipient, record, content and purpose visible at review time and can become stale. The service may block an approval when suppression, a reply, a closed quote, a changed record, a disconnected mailbox or another safety guard is present.

The workspace owner remains responsible for the suitability, accuracy and lawful use of their enquiry data, recipient relationship and approved message. Quotenivo does not provide legal, accounting, payment or professional advice.

Data protection responsibilities

Where you use Quotenivo to store or process enquiries, contacts, quote references or mailbox-related workflow data for your business, you remain responsible for having the authority, transparency and lawful instructions needed for that data. You must not intentionally submit special-category data or criminal-offence data, and should avoid unnecessary sensitive information. If such information is received accidentally, stop using it for the workflow and contact Quotenivo promptly so the customer can assess the incident and any safeguards.

Your business determines the purposes and lawful basis for its customer data. Quotenivo processes enquiry, quote, recipient and connected-mailbox data only on your documented instructions and does not reuse it for Quotenivo marketing, product analytics, cross-customer benchmarking, sale or general-purpose AI training. Peter French/Quotenivo handles account, security, support and billing records for its own limited service-administration and necessary-security purposes, without profiling or unrelated product analytics. Where required, the parties accept the separate Data Processing Agreement; it describes the processor boundary, provider schedule and rights assistance. The privacy notice describes Quotenivo's own records and the current data boundary.

If someone asks to exercise a data protection right over information you control, you remain responsible for responding to that person. Quotenivo can provide the tenant-scoped controls and technical assistance evidenced in the privacy centre, but an export, deletion request or mailbox disconnect is not automatically a complete legal response or erasure from a third-party provider or backup.

Trial, pilot and commercial terms

New verified Quotenivo identities can receive one 14-day trial without entering payment details at sign-up. Trial access is bounded to the workspace and may be paused or ended when the trial expires, when safety or account-authority evidence is missing, or when the service is unavailable. A trial does not automatically become a paid subscription.

After the trial, the current Pilot offer is £29 per month, charged by Stripe only after the workspace owner starts checkout and confirms the recurring subscription. Quotenivo does not store card details. The £29/month amount is stated without claiming that VAT is included. Access changes only after Quotenivo receives and verifies the relevant Stripe billing evidence; a browser redirect alone is not proof of payment.

A paid subscription can be cancelled through the available billing controls. Cancellation is scheduled for the end of the current paid monthly period, and access remains available until that period ends. Quotenivo does not provide an automatic prorated refund. This position does not limit statutory rights. The subscription renews monthly through Stripe until cancelled. The current Pilot offer has no separately stated setup charge; any separate setup service would need a separate written agreement. Support is available through the service support route, but no response-time promise is made.
