Common questions

Who is Quotenivo for?

Quotenivo helps builders, plumbers and other trades keep job enquiries, proposals, quotes and invoice follow-up in one workspace.

What can I include in a proposal?

Write the work scope, what is included and not included, and your terms. Add price lines with a description, quantity and unit price, then set the VAT treatment for the proposal. Quotenivo calculates and saves the totals.

How do I share a proposal with a customer?

Export the proposal as a PDF and share it with the customer yourself. Then record that you sent it in Quotenivo so the proposal status reflects the hand-off.

Does Quotenivo create proposal or quote references for me?

No. Enter the Proposal reference you use to find your proposal draft. For a Quote, enter the external reference your business already uses. Quotenivo keeps those references with the related records; it does not assign a unique reference for you.

How does invoice chasing work?

An Owner or Admin can queue a reviewable chase for an eligible invoice. Delivery depends on a connected, approved mailbox and the invoice still passing its checks.

What happens when a customer replies or says they have paid?

A customer reply pauses invoice chasing for review. A payment report stays separate from Paid: an owner checks their normal payment records, then confirms or rejects the report. Quotenivo does not verify bank payments automatically.

Does Quotenivo connect to accounting software?

Quotenivo tracks invoice details and status in your workspace. It does not currently sync with accounting software or verify payments with a bank.

Can I add job photos or edit proposal branding?

Yes. An Owner or Admin can set the proposal business name, tagline, accent colour and a PNG logo in Workspace settings. Those settings are copied into new proposal drafts. In a draft, add private PNG or JPEG job photos with captions; the photos can appear in its PDF. See the branding and job photo guide for the steps.

Do I need to connect a mailbox before getting started?

No. Create a workspace and add enquiries without a mailbox. A connected, approved mailbox is required before Quotenivo can deliver an invoice chase.

Does Quotenivo send a proposal to my customer?

No. Export the PDF, share it yourself, then use Record as sent to record the hand-off. Quotenivo does not send proposal messages. See the proposal PDF guide.

What happens after a customer reports payment?

Payment reported is a separate invoice state. It pauses chasing and never marks the invoice Paid automatically. An Owner or Admin must check their normal payment records and explicitly confirm or reject the report; releasing the hold does not itself queue or resume a chase.
