QuotenivoProposal, quote and invoice follow-up

Practical guide

Create an invoice and review its follow-up

Keep the invoice attached to the Quote, then review payment and reply states before choosing any next action.

In your workspace

Follow these steps.

  1. Create an invoice from its Quote

From an external Quote record, choose Create invoice from this Quote. A Proposal Quote history page uses Create invoice. You can also open Invoices and choose Create invoice. Select the source Quote, enter your invoice number, amount, currency, issue date and due date, then choose Create invoice.

The invoice remains linked to its source Quote. Quotenivo tracks the invoice details in the workspace; it does not sync them to accounting software.

  2. Queue a chase when you are ready

Open the invoice and review its amount, due date and current state. If it is open and not paused, choose Queue chase. This records a reviewable chase request. Delivery still depends on an approved, connected mailbox and the invoice passing its current checks.

Check the current chase status before following up. Queueing does not claim that a message was delivered.

  3. Review a customer reply

A customer reply pauses invoice chasing so it can be reviewed. On the invoice, check the pending reply review details. An Owner can choose Acknowledge and release this hold after review. This action releases only that reply hold; it does not queue or send a new chase.

If a new chase is appropriate, request it separately after reviewing the invoice.

  4. Confirm payment yourself

Choose Payment reported when a customer says they have paid. The invoice stays in Payment reported and chasing stays paused until an Owner or Admin checks their normal payment records and chooses Confirm Paid or Reject payment report.

A payment report never marks itself Paid, and it does not resume a chase. For an invoice paid without a report, an Owner or Admin can explicitly choose Mark as Paid after checking their records.
